Truss Rental Quote Checklist for Fast Answers

To get a fast truss rental quote, send AVLS Rentals four things in one email: the venue city, your load-in and load-out dates, a drawing or rough height and span, and whether the structure is ground-supported or flown. That is enough to start. The checklist below covers everything else that turns a first reply into a final price without a long back-and-forth.

Quick answer: what a truss rental quote needs

At minimum, we need to know where, when, and what. Where is the venue and city. When is load-in, show days, and load-out. What is a CAD file, a plot, a hand sketch, or simply “a 20 ft wide goalpost, 12 ft tall.” Add any scenic, such as illuminated cube stage sets or a circle truss ring, and the quote request can be priced as one package.

The 7-item truss rental quote checklist

  1. Where: venue name, city, and booth, hall, or ballroom if known.
  2. When: load-in date and time, show days, and load-out date and time.
  3. What: 12×12 box truss lengths (2, 3, 5, 6, 8, or 10 ft), 6-way corner blocks, 6-inch spacers, and any 10 ft or 12 ft circle truss. If you don’t have a piece list, send overall height, width, and depth.
  4. How it stands: ground-supported on 2×2 or 3×3 steel bases, flown from the building, or a mix. Note ceiling height and any rigging restrictions.
  5. Scenic: stage sets such as illuminated 2 ft cube scenic, with acrylic printing if you want graphics.
  6. Freight: dock hours, liftgate needs, or the advance warehouse address and deadline.
  7. Contacts: producer name, phone, and email, plus the on-site contact for delivery day.

Copy the list into your email, fill in what you know, and write “TBD” for the rest. A partial list still gets a useful first answer.

Sample truss rental quote request

Here is what a complete request can look like in a few lines:

“Venue: convention center, Hall B, Booth 1234, Las Vegas. Advance warehouse deadline: date. Load-in: date, 8 a.m. Load-out: date, 6 p.m. Structure: ground-supported goalpost, about 20 ft wide and 12 ft tall, with a 12 ft circle truss centered over the booth. Scenic: one illuminated cube stage set. Rigger: our exhibit house. Contact: name, phone, email.”

That is enough for AVLS to build a piece list and a freight plan.

Details that change the price

  • Distance and freight: AVLS ships from warehouses in the Chicago area, Las Vegas, and Houston. Venue location and total weight drive freight. See nationwide truss rental shipping.
  • Rental length: the dates from ship-out to return, not just show days.
  • Bases and ballast: ground-supported builds need base plates, and ballast needs a plan. The truss base plates guide explains the options.
  • Rings and scenic: the circle truss rental guide covers ring sizes, and the stage set rental guide covers scenic packages.
  • Late changes: a piece list that changes close to ship day can change the truck or warehouse.

Rigging and engineering

If any part of the design is flown or hung, name your rigger in the request. Flown loads need qualified riggers, and it is worth asking whether your rigger is certified through the Entertainment Technician Certification Program (ETCP). Larger ground-supported structures and anything carrying lighting, LED, or scenic overhead should follow an engineer’s plan. A truss rental quote from AVLS covers the rental hardware; it is not an engineering sign-off, and we don’t publish load numbers.

FAQ: truss rental quote

What information do I need for a truss rental quote?

The venue city, load-in and load-out dates, a drawing or rough dimensions, and whether the structure is ground-supported or flown. Piece counts, scenic, and freight details make the quote final.

How can I get a truss rental quote faster?

Send everything in one email with the drawing attached to rentals@avlsrentals.com, or use the quote form. Complete dates and a clear sketch cut out most follow-up questions.

How far ahead should I request a truss rental quote?

As soon as your dates and rough design are stable. Busy convention seasons and multi-city tours need more lead time for inventory and trucks. Short-notice jobs are sometimes possible when stock allows, but freight options shrink.

Can I get truss and stage sets on one quote?

Yes. Truss from the truss rental catalog and scenic from stage sets can go on one quote and one shipment. Unsure which you need? Read stage sets vs truss.
